"Microphone access is off"
SiteMinutes cannot hear the meeting until you allow the microphone. Marks and photos still work in the meantime.
On iPhone or iPad
- On the recorder, tap Open Settings.
- Turn on Microphone for SiteMinutes.
- Come back to SiteMinutes and tap Start recording.
On Mac
- Open System Settings › Privacy & Security › Microphone.
- Turn on SiteMinutes.
- Come back to SiteMinutes and click Start recording.
"Low storage" or storage full
One hour of audio needs about 30 MB. Photos and plans take more. SiteMinutes warns you when there is less than about 300 MB free as you start recording.
- Build a meeting pack for finished meetings and send it to your Mac (see Exporting).
- In the Files app, open On My iPhone › SiteMinutes › SiteMinutes › Exports. Move old packs and PDFs you have already sent to your computer or cloud storage.
- Check SiteMinutes › Trash. Everything in it was deleted in the app. Empty it only when you are sure you do not need anything in it.
- Free up space elsewhere on the phone (Settings › General › iPhone Storage shows what uses the most).
Do this before the meeting. Recording carries on when storage is low, but a completely full phone cannot save audio.
The recording stopped or was interrupted
SiteMinutes saves audio as it goes, in parts. When something interrupts it, the audio recorded so far is kept, and a notice at the top of the recorder tells you what happened and when.
| Notice | What to do |
|---|---|
| "Interrupted at … (call, Siri or another app)" | Nothing. Recording resumes by itself when the call ends. If it does not, tap Resume now. |
| "Still can't use the microphone … Is a call or another app using it?" | End the call, or close the other app that is using the microphone (a voice note, a video call). SiteMinutes keeps retrying. |
| "Recording stopped unexpectedly at … recording continues in a new part" | Nothing. A new part has started. |
| "The system audio service restarted …" | Nothing. Recording continues in a new part. The part before may be incomplete. |
| "Microphone changed to … recording continues" | Nothing. Check that the new microphone is close to the speakers. |
| "Could not start recording …" | Check the microphone permission and free storage, then tap Resume. |
To check what was recorded, look at the Record meeting panel on the meeting sheet. It shows the total time and the number of parts, for example "48:12 recorded · 4 parts". The individual audio files are in Files › On My iPhone › SiteMinutes › SiteMinutes › Meetings.
Recording sounds faint
- Put the phone flat in the middle of the table, screen up, away from the laptop fans and the air conditioner.
- Disconnect Bluetooth earphones. SiteMinutes prefers the phone's own microphone, but some headsets take over the audio anyway.
- For large meetings, a wired or USB table microphone works well. SiteMinutes uses it as soon as it is connected.
A plan will not import
| Message | Fix |
|---|---|
| "This PDF is password-protected" | Save an unprotected copy of the PDF and import that. |
| "This file is not a readable PDF or image" | Use a PDF, PNG, JPEG or HEIC file. Export DWG drawings to PDF first. |
| "This PDF has no pages" | The file is damaged. Export it again from your drawing software. |
"Plan image not found" or "Image file not found"
The file was moved, renamed or deleted outside SiteMinutes, for example in the Files app. If you moved it, put it back in its folder with its original name. Otherwise, import the plan again.
