Sheet 04 Actions is the meeting's schedule of actions, grouped by agenda item, just like the minutes.
Add an action
- Open the meeting and tap 04 Actions.
- Tap Action (bottom right), or the + next to an agenda heading to add straight under it.
- Pick the Agenda item. The Item no. is filled in for you: the first action under item 4 is 4.1, the next is 4.2, and so on.
- Describe what must be done, and enter who it is for under Action by.
- Optionally, turn on Due date. The quick buttons +7 d, +14 d, +21 d and +28 d count from the meeting date.
- Tap Save.
You can type a different number if you need to. SiteMinutes warns you if that number is already used in the meeting.
Statuses
| Status | Meaning |
|---|---|
| Open | Not started. Shown in red. |
| Ongoing | In progress |
| Closed | Done |
Tap the status mark on the right of a row to move it along: Open → Ongoing → Closed → Open. Tap again if you tapped by mistake.
An action is overdue when its due date has passed and it is not closed. Overdue dates are shown in red.
The tally at the top counts Open, Overdue, Carried and Total. The filter at the bottom switches between Open and All.
Carry forward to the next meeting
Open actions do not get lost between meetings.
- When you create the next meeting, choose the same meeting type (for example the next site meeting).
- Leave Carry forward open actions on. The form shows how many are open, for example "3 open from SM02".
- Tap Create.
Every open and ongoing action is copied into the new meeting with its number, text, responsible party, due date and status. Each one shows where it came from, for example from SM02 4.2. The reference always points to the meeting where the action was first raised, however many times it has been carried.
Carried actions keep their numbers, so new actions under the same agenda item follow on after them. If 4.1 and 4.2 were carried, the next new action is 4.3.
Closed actions stay in the meeting where they were closed and are not carried.
Edit or delete
Tap an action to edit it. Delete it from the edit form or with a long press. A deleted action is removed from the minutes of that meeting only, and deleting cannot be undone. It is usually better to set it to Closed, so the record stays.
