Meeting minutes, written for you

Your meeting ends. Your minutes are already written.

Spend the hour after the meeting on the work — and the people — that matter. Record on your phone; SiteMinutes writes clear minutes in English, from English, Afrikaans, German or a mix. Change anything with a sentence, then send them to everyone.

What you get back

The hour after every meeting. Yours again.

Nobody went into their profession to type up minutes at nine at night. Here is what that hour turns into.

10:05

On site, not at the desk.

Walk the slab with the contractor while the minutes write themselves on the way back to the car.

17:40

Home for dinner.

The minutes are out before the traffic lights on the way home. The evening is yours again.

14:00

The next project.

Give the hour to design, to the proposal, to the work you are actually good at and paid for.

11:30

The people in the room.

Look up and listen. Nobody at the table is typing — so everybody is present.

Work out your own hours

Writing up each meeting takes you
Given back, every month
20hours

That is about 30 working days a year you no longer spend turning notes into minutes.

How it works

Four steps. You only do the talking.

From the agenda to the minutes in everyone's inbox — without a blank page.

  1. 01

    Prepare

    • Agenda items and attendees, ready in a minute
    • Last meeting's open actions come along by themselves
    • Print the agenda and attendance sheet if you like paper
  2. 02

    Record

    • On your iPhone, iPad or Mac — even with no signal
    • Tap Mark at an important moment, add photos as you go
    • Saved on the device, in safe parts, while you talk
  3. 03

    Minutes, written

    • Clear English minutes in about 5 to 10 minutes
    • Every action numbered, with an owner and a due date
    • Open actions carried forward, with where they came from
  4. 04

    Review & send

    • Change anything by typing a sentence: “Move 4.2 to the architect”
    • Tap Finish — the minutes are locked and numbered
    • E-mailed to everyone who attended, with the PDF

Your whole team, one company

Invite colleagues into your company. Everyone sees the same projects, meetings and actions.

Try all of it for seven days, on the meetings you already have this week.

Data & privacy

Your meetings stay yours.

What is said in a meeting is often confidential. We built SiteMinutes so that as little as possible ever leaves your device — and nothing stays longer than it must.

  • Recordings stay on your device

Your audio lives on your iPhone, iPad or Mac. We keep the text of the minutes and registers — not the recording.

  • The upload is temporary

To write the minutes the audio is uploaded once, then deleted as soon as the minutes are done.

  • Never used for training

Your meetings are not used to train AI models. They are your meetings.

  • POPIA-aware, company by company

Each company sees only its own data, hosted in the EU (Frankfurt). Built with South Africa's POPIA in mind.

Questions

Good to know.

Something else? Write to help@siteminutes.com.

Which languages can we speak in the meeting?

English, Afrikaans and German — and any mix of them, the way meetings really go. More languages are on the way. The minutes are always written in clear, professional English.

How long does it take to get the minutes?

Usually 5 to 10 minutes after you stop recording — often before you have left the site or the building.

What if there is no signal at the meeting?

Record anyway. The recording is saved on your device in safe parts and uploads by itself once you are back in range.

Which devices does it work on?

Record on an iPhone, iPad or Mac. Android phones are coming soon. On Windows, use the web app in your browser to review, change and send minutes — a Windows app isn't planned for now.

Is this only for construction?

No. SiteMinutes started on building sites, which is why it handles numbering, carried-forward actions and JBCC so well — but it works for any meeting that needs a record: boards, AGMs, agencies, sprints, client meetings.

Can I change what the AI wrote?

Always. Type a sentence — “the slab pour moved to Thursday” — and the minutes are updated. You approve everything before you press Finish and send.

How does the free trial work?

Seven days, every feature, no card needed. If you want to continue, choose monthly or yearly per seat. Cancel anytime.

Who can see our meetings?

Only the people in your company. Recordings stay on your devices and the temporary upload is deleted after the minutes are written. Read the privacy policy for the details.
